Modern Facilities For A Modern School
As a flagship school placing special emphasis on health and science, it is vital that NUSA provides advanced document systems to match the rest of its technical infrastructure.
As Russ Green, Systems Manager, explains; “embracing new technology is essential.” NUSA’s staff and students use a fingerprint identification system for registration, library access and cashless catering, so the school needed its documents systems to integrate with the same technology.
Using Ricoh multifunctional devices supplied by Reprotec, a fingerprint identifies the user and the Equitrac print release unit lists the document stored for that user.
Russ confirms that staff find Equitrac’s follow-me printing extremely useful; “on busy Fridays they can send print jobs to the queue and collect them on Monday from whichever device is most convenient”
Although Equitrac allows them extensive variations on functions available to each user, NUSA has only introduced one restriction so far; “students can only print on the multifunctionals, but staff can scan and copy too.”
Using this configuration, Reprotec helps the school provide document facilities that are convenient, reliable, simple to use and cost-effective.
NUSA’s multifunctionals were supplied through an open tender process. “Reprotec’s prices were lower that the company we had been using” Russ agrees, “even though our decision was not made on cost alone.”
Equitrac also plays its part on controlling print costs. Print job costs are allocated by department and set against administrative budgets fairly. By deleting unclaimed jobs after three days, it also reduces unnecessary printing.
A Reliable Supplier
Russ knew Reprotec’s excellent service levels from his time at NUSA’s predecessor school where they had supplied the Science Department. “So when we came to equip NUSA we preferred to expand our contract with Reprotec.”
“What I really like” says Russ, “is that they always appear to be looking after our best interests. They give me an honest opinion, even if it means saving me money and making them less.”
One of the other reasons NUSA selected Reprotec was that it offered a 2-hour response time for call-outs. Crucially, experience has also shown that their engineers fix problems firs time. “I’ve had enough of engineers who arrive and say “I need another colleague to help sort this”, says Russ.
Reprotec’s finest hour may have been when the photocopier was not running entirely smoothly; a new device was not working reliably enough. “Their response was fantastic”, says Russ; “Tell us what you want and we’ll swap it”. “We exchanged the problematic photocopier for two others with no financial impact and Reprotec handled all the contractual amendments.”
