Halving Print Costs
As Hillary’s Senior Buyer, Rob Perkins is fully aware of the cost of running printers. “Every year contracts came up for renewal and a large proportion of our total spend was on toner and ink.”
Knowing how much lower the click-charge was for larger multifunctionals; it was simple to conclude that it was better to push printing away from printers and photocopiers towards multifunctionals.
“In the process of renewing multifunctionals we’ve halved our costs. We intend to focus printing on the multifunctionals so the company’s spend will go down. It’s a cost-driven exercise.”
A Competitive Proposal
Experienced purchases always seek alternative suppliers so Rob’s investigations included direct-selling manufacturers such as Canon, Sharp and Xerox as well as national suppliers such as Danwood.
Reprotec was selected on the basis of service, reliability and value “Their level of service was impeccable”, says Rob. “I knew the Kyocera machines were reliable and suitable for Hillarys. In terms of value for money, the Kyocera’s supplied by Reprotec win every time.”
It also helped that Reprotec were prepared to devote time to resolving troublesome contracts for old copies that were out of sync with the rest of the fleet.
A Good Partner
Reprotec has proved itself an easy partner to work with. Administration is simplified by a software system that automatically takes meter readings and generates a single monthly bill. “It means that once a month I don’t get a call saying ‘can you give us your meter readings, please?”
Service and support has been bulletproof. Users have been bowled over by the simplicity and convenience of scan-to-email on networked multifunctionals and Hillarys’ technical staff find it easy to work with the new equipment and Reprotec’s staff. “It’s a relationship that works very well”, says Rob.
One of Reprotec’s main attractions was its willingness to adapt to Hillarys’ needs. For example, Hillarys prefer to stay with a traditional click charge contract whilst retaining a managed service; they retain an extensive fleet of convenience desktop prints; and they have shifted the majority of their business to electronic rather than paper documentation. Reprotec have been adaptable throughout.
The New Generation
Hillarys’ new Kyocera multifunctionals far exceed the capabilities of the photocopiers they replaced. As networked devices, they act as print hubs in open-plan offices. They are also being configured for large volume scan-to-email roles.
Once familiar with such capable and centralised facilities, staff will be happy to phase out their desktop devices. The plan is on course. “User acceptance has been fantastic”, Rob says.
